Client review links: easy access without opening the whole workspace

A client should not need to learn the entire product to review one asset. They also should not receive broader workspace access than the task requires.

A controlled review link opens the released material and keeps identity, comments, decisions, and downloads under the team’s settings.

Release the right version and identity mode

Internal versions remain unavailable until the team releases them. Before sharing, confirm the active phase, file, version, and whether the review covers one asset or the whole package.

Typed identity is simple for known, low-risk reviewers. Invited-email mode is a better fit when only named people should comment or decide.

Separate commenting, deciding, and downloading

A subject specialist may comment while an accountable stakeholder makes the final decision. The share panel should make those permissions visible before the link leaves the team.

Download is a separate choice. Browser review does not need to grant the original file automatically.

Test, revoke, or regenerate the link

Open the client view to check branding, language, version, and available actions. Send the generated client URL rather than an internal address copied from the browser.

Revoke access when the review ends. Regenerate the link if it reached the wrong person. Revocation blocks future platform access but cannot undo files already downloaded or copied.

A forwarded link still needs a policy

A URL is easy to forward. If attribution matters, limit participation to the invited email addresses and make the intended decision makers explicit in the active stage.

Revoking a link stops future access through Aproova. It cannot retrieve a file that was downloaded or copied earlier.

Questions people ask before setting up the workflow

Does a client need an Aproova account?

Not when the review allows guests by link. The team still controls identity and available actions.

Can everyone with the link approve?

No. Decision access depends on the review settings, active stage, and defined participants.

Can the link be disabled later?

Yes. It can be revoked or regenerated, which invalidates the previous address.
